MOVING SERVICES FOR SCHOOL CONSOLIDATION.
DUE DATE: MARCH 27, 2025, BEFORE 10:00 AM
The Berryessa Union School District is seeking qualified and experienced moving service contractors to submit sealed Proposals for moving services for school consolidation. The Scope of Work includes: the furnishing of equipment, supplies, and crews as required by the District for the physical relocation of offices, workstations, and classrooms within the boundaries of the Berryessa Union School District, at such times and places as directed by the District, as rapidly as possible with minimal disruption to District staff and the daily operations of the District.
PRE-BID CONFERENCE - There will be a Non-Mandatory Pre-Bid Conference and Job Walk for this project. The Pre-Bid Conference and Job Walk will begin at 2:00 pm on March 6, 2025. Meet at the front entrance, Laneview Elementary School, 2095 Warmwood Ln, San Jose, CA 95132. Contractors are not allowed to visit the site without being accompanied by an authorized District employee.

DIR REQUIREMENTS - Per SB854: No contractor or subcontractor may be listed on a bid proposal for a public works project unless registered with the Department of Industrial Relations pursuant to Labor Code section 1725.5. No contractor or subcontractor may be awarded a contract for public work on a public works project unless registered with the Department of Industrial Relations pursuant to Labor Code section 1725.5. This project is subject to compliance monitoring and enforcement by the Department of Industrial Relations.
The District shall award the Contract, if it awards it at all, to a responsible bidder based on:
Best Value for the District. The District reserves the right to negotiate with one or more Proposers.
The Board of Trustees reserves the right to waive any irregularities, accept or reject any or all Proposals, and be the sole judge of merit and suitability of the workmanship and materials.

PROJECT SUMMARY:
NOTICE IS HEREBY GIVEN that The Santa Clara County Office of Education Berryessa Consortium, acting by and through its Consortium Lead Board of Education, hereinafter referred to as “The Consortium” invites vendors to submit proposals in accordance with the terms and conditions of this Request for Proposal (RFP). The RFP details the services being sought, requirements, and the evaluative criteria for the procurement of Leased Dark Fiber and Lit Dark Fiber Services for Consortium members and requests a formal written response from all prospective vendors, including equipment and software pricing, and service descriptions required for installation in accordance with E-Rate program guidelines.
A Form 470 has been filed with the SLD (Schools and Library Division) for E-Rate Year 25 for Telecommunication Services for E-Rate.

PROPOSAL DELIVERY
One (1) original, one (1) copy and one (1) digital copy of the proposal shall be submitted for consideration to the Berryessa Union School District before 12:00 pm on March 13, 2025. The Consortium recommends that all proposals be hand carried to assure acceptance within the timeline. Consortium further recommends that proposals sent via US Mail or other parcel carriers be delivered 48 hours before the deadline to assure acceptance.

The SCCOE Berryessa Consortium is dependent upon E-Rate, CTF, and local funding to acquire the services requested in this Request for Proposal. All respondents must participate in both E-Rate and CTF and any agreement which might lead to a commitment of funds on the part of the Consortium can be voided if either E-Rate or CTF funds become unavailable. All responses should be based on costs BEFORE E-Rate and CTF discounts are applied. All proposals submitted must contain both contracted costs including any and all equipment and one-time set up or construction charges and the recurring month-to-month costs. The District has included a spreadsheet that must be completed and submitted with a firm’s response.
This request for proposal does not commit the Berryessa Union School District or The Consortium to award a contract, to pay for any costs incurred in the preparation of a proposal, or to procure or contract the services or supplies. The Consortium reserves the right to accept or reject any or all proposals received as a result of the request, to negotiate with any qualified source, or to cancel in part or in its entirety the Request for Proposals if it is in the best interest of The Consortium. The District may require the firm selected to participate in negotiations, and to permit such price, technical or other revision of their proposals as may result from said negotiations. The selected firm’s proposal will be submitted to the Board of Trustees for consideration of award. The decision of the Board is final.
If no proposals are received by the RFP deadline, the Consortium reserves the right to extend the deadline by fourteen (14) days and seek out proposals from multiple Service Providers. A new Form 470 and bidding process is not required.
The Santa Clara County Office of Education Berryessa Consortium reserves the right, in its sole discretion, to determine the criteria and process whereby RFPs are evaluated and awarded.
All notices, clarifications, and amendments to this RFP will be distributed via the aforementioned website. The District shall not be responsible for sending individual notifications of changes or updates to any respondents. It is the sole responsibility of the proposer to remain apprised of changes to this RFP.
The School District reserves the right to accept or reject any and all proposals and to waive any irregularities or informalities in the proposals or in the proposal process. All proposals shall be valid for 90 days after the proposal due date.
